Senior Executive Assistant

Job description

Our client is seeking an experienced Senior Executive Assistant to be based in Prague and support the CZ Sales Team. In this position you will manage calendars, prepare correspondence, screen calls, arrange travel, process expenses, and organize field visits. You will also act as a channel of communication in the organization, both domestically and internationally, regularly interacting with employees, key opinion leaders, and customers via phone, email, and occasionally in-person. If you’re fluent in English with 3-5 years of assistant experience, this may be just the right opportunity for you. Currently offered as an FTC but with a great potential to become a core employee after just 6 months!  

Senior Executive Assistant Responsibilities:

  • Manage the LT’s (Lead Team) calendar, scheduling of appointments and meetings.
  • Arrange internal or offsite meeting space i.e. meals, room set-up, transportation, etc. for LT Meetings, customer, and internal employee meetings.
  • Arrange complex and detailed travel for supported LT, as well as assisting LT from HQ (if requested) through interacting with their Senior Assistants at Headquarters.
  • Be available when a LT member is traveling to assist with emergency travel arrangements.
  • Prepare and finalize presentations as needed.
  • Prepare expense reports and reconcile expenses billing.
  • Type correspondence to include letters, memos, forms, e-mails, etc.
  • Handle and maintain confidential information.
  • Serves as a contact to people inside and outside the company.
  • Perform special projects as assigned.
  • Collaborates with various staff and departments in preparing special projects.
  • Office coordination with other Senior Assistant on needs of office / Lead Team.

Senior Executive Assistant Requirements

Minimum Qualifications:

  • 3-5 years of experience supporting top-level executives in a corporate setting.
  • Fluency in English (Czech would be a benefit). 
  • Computer literate (MS Office)

Soft skills:

  • Ability to effectively work and communicate with people at all levels in the organization and in all departments within an international environment.
  • Ability to represent the Local LT effectively with customers, prospects, employees, and suppliers.
  • Superb phone etiquette; excellent written/oral skills; strong professional judgment/critical thinking.
  • Flexible and responsive; creative; strong focus on accuracy and quality.
  • Self-motivated person with strong interpersonal and organizational skills; diplomatic.
  • Ability to work with multiple internal and external customers and determine priorities.
  • Detail oriented; Strong focus on accuracy, quality, and timeliness all while handling multiple tasks; negotiation skills.

Location: Praha 8-Palmovka (hybrid working)

Start date: ASAP (6 months temporary contract with a great potential to become a core employee)
